Who it's for

Insurance brokers and financial advisers

Agents on the advice systems you already run.

We make your policy administration, advice and document systems fit to carry agents, then put agents on the client file per advice, policy administration and client document checks, with an adviser at every decision that reaches a client or an insurer.

One week. One advice workflow. A working example on your own client files.

Praxeum puts AI agents on top of the systems insurance brokers and financial advisers already run. First we fix what stops the policy administration, advice and document systems from carrying agents, then agents take over the client file per advice, policy administration and client document checks, with an adviser signing off, every action logged, and the office owning it.

Workflows we build for insurance brokers and financial advisers.

By department, with where most offices start.

  • Compliance and risk files

    Where most firms start

    1. An advice meeting ends
    2. The agent does it, on record: Position and goals recorded
    3. The agent does it, on record: Risk appetite and reasons written up
    4. The agent does it, on record: Missing documents listed
    5. A person decides: The adviser signs the advice file
    6. File per advice, on record

With company memory Knows how your office records each kind of advice, and the steps your compliance officer always asks for.

    Also: Client documents checked

  • Finance and administration

    1. A policy change comes in
    2. The agent does it, on record: Change, renewal or cancellation prepared
    3. The agent does it, on record: Cover and premium effects listed
    4. A person decides: The adviser approves the change
    5. Policy updated, on record

With company memory Knows which insurers pay commission late or in parts, and how your office follows up.

    Also: Commission statements

  • Client intake and files

    1. A new client books a meeting
    2. The agent does it, on record: Details and documents requested
    3. The agent does it, on record: Collected and checked for gaps
    4. A person decides: The adviser opens the file
    5. Complete file at the first meeting

With company memory Knows what your advisers ask a new client beyond the form, and why.

    Also: Claim reports

Where the work stalls in insurance and advice.

  • Not adopted

The policy and advice software came with new features, and advisers still type the same client details into each system, because nobody built the features into how the office prepares an advice.

  • A file per advice

Before every advice the client's position, knowledge, goals and risk appetite must be gathered and recorded, and the file is put together by hand from emails, forms and notes.

  • Policy changes by hand

Changes, renewals and cancellations from insurers and clients are processed one by one, and administration takes about as much staff time as the advice itself.

  • Rules weigh on margin

The duties per advice cost a small office a real share of its revenue, and vacancies take longer to fill than a few years ago.

Three workflows that are usually the first candidates.

Examples to start your own list from, each run by agents that work alongside your team as co-workers. The AI Sprint finds the ones that fit your operation.

The client file per advice

Today
Before an advice the adviser collects the client's income, obligations, knowledge and goals by email and a form, writes up the reasons for the advice afterwards, and the file is completed when there is time.
Agents take over
Agents gather the client's details from the intake form, the documents and the meeting notes, check them against what the file must hold, draft the reasons for the advice in the office's wording, and list what is still missing.
A person decides
The adviser checks the file, gives and signs the advice; nothing reaches the client or an insurer without that signature.
The audit trail records
What was collected, from which source, what was missing, the advice given and who signed it are recorded per client and per advice.
Your team owns
The file checklist, the advice templates and the wording are the office's own, in the systems you already run.

Policy administration

Today
Changes, renewals and cancellations arrive from insurers and clients by email and portal, and an assistant processes each one in the policy system by hand.
Agents take over
Agents read each change, match it to the client and the policy, prepare the update in the policy system, draft the message to the client, and set aside anything unusual.
A person decides
A person approves every change to cover or premium, and every message to a client, before it is processed or sent.
The audit trail records
The source of every change, what was updated, who approved it and what the client was told are recorded per policy.
Your team owns
The processing rules, the points where a person approves and the message templates belong to the office.

Checking client documents

Today
For a mortgage or a large policy, an adviser checks payslips, employer statements, IDs and bank statements by eye against the application, page by page.
Agents take over
Agents read every document, compare the names and the figures with the application and with each other, and list each mismatch, gap or expired document with where it was found.
A person decides
The adviser reviews every flagged item and decides whether the file goes to the lender or the insurer; a doubtful document always goes to a person.
The audit trail records
Each document checked, each finding and the adviser's decision are recorded per application.
Your team owns
The checklists per product and the rules for what counts as a mismatch are the office's own.

What your agents need to know in insurance and financial advice.

  • Which questions your advisers really ask before an advice, including the follow-up questions that never made it into the form.
  • How each insurer's changes and exceptions are handled at your office, including the ones agreed by phone.
  • Which documents your advisers trust for which product, and what makes them send a file back.

Where advice offices usually start.

The client file per advice, for most offices. It comes back with every advice, the law already says what the file must hold, and the judgment line is clear: the adviser gives and signs the advice. Collecting the client's position is also one of the larger costs the rules put on a small office.

How it would go

  1. 01The AI Sprint maps how a file per advice is built today with the advisers and assistants who build it, and reads what in your advice software, policy administration system and document storage must change before agents can carry it.
  2. 02The working example builds the files for one month of real advices, nothing sent to a client or an insurer.
  3. 03The build adds the adviser's sign-off, the checklist per product, the audit trail per advice, and the handover to the advisers.
  4. 04Policy administration and the document checks follow once the files run.

The governed layer in insurance and advice.

Where an adviser signs off

Every advice and the file behind it, every change to a client's cover or premium, every message to a client, and every application that goes to a lender or an insurer. Agents prepare, advisers commit.

What the audit trail records

What was collected for each advice and from where, every document check and its findings, every policy change with its source, and who approved what. Enough to answer a client, an insurer or a supervisor.

What the office owns

The file checklists, the advice templates, the processing rules and the runbooks, in the policy and advice systems you already run. When a rule changes, the office changes it.

Start with one advice workflow.

One week, fixed scope. You leave with a working example of one workflow on your own client files, a read of your policy administration, advice and document systems, and a plan for what to build next.

What you get

  • Working example of one workflow
  • Stack read
  • Risks and value
  • Roadmap

Questions from insurance brokers and financial advisers.

Does this replace our policy administration or advice software?
No. The agents work inside the policy administration, advice and document systems you already run. The AI Sprint lists which systems hold your client files and what each needs before agents can work in it.
Can an agent give advice to a client?
Not by design. Agents gather, check and draft; the adviser gives the advice and signs the file. The gate is built in, so nobody can switch it off by mistake.
How do you handle client data?
Client data stays in your systems under your access rules; the agents read and write there, and every action on a client file is logged. Which models may see which data is a design decision the AI Sprint makes explicit rather than a default.
What about our duties under the Wft?
The duties stay with the office, and so does the advice. The agents prepare the file against the checklist your office set, and the audit trail shows what was collected, from where, and who signed. That record is what a supervisor asks to see.
Which workflow should we start with?
Usually the client file per advice, because it comes back with every advice and the law already says what it must hold. The AI Sprint confirms whether that holds for your office or whether policy administration or the document checks come first.
What do we own at the end?
The system, its documentation, its rules and templates, and the runbooks. We hand it over so the office runs it without us.
