Property and VvE management

Agents on the property systems you already run.

We make your property management, accounting and email systems fit to carry agents, then put agents on tenant and owner requests, lease documents and VvE administration, with a property manager at every decision a tenant, an owner or a VvE board feels.

One week. One property workflow. A working example on your own data.

Praxeum puts AI agents on top of the systems property managers and managers of owners' associations (VvE) already run. First we fix what stops the property management, accounting and email systems from carrying agents, then agents take over tenant and owner requests, lease documents and VvE administration, with a manager signing off, every action logged, and your team owning it.

Workflows we build for property and VvE management.

By department, with where most managers start.

  • Planning and scheduling

    Where most firms start

    1. A tenant reports a repair
    2. The agent does it, on record: Read and sorted by urgency
    3. The agent does it, on record: The right contractor proposed
    4. A person decides: The property manager approves the job
    5. Booked, on record

With company memory Knows which contractor your team sends for which job in which building, and why.

    Also: VvE maintenance plan

  • Client intake and files

    1. A lease is up for renewal
    2. The agent does it, on record: Renewal or indexation drafted
    3. The agent does it, on record: Checked against the approved terms
    4. A person decides: The property manager approves it
    5. Sent to the tenant, on record

With company memory Knows the house rules of each VvE, and how your team answers the questions that keep coming back.

    Also: Tenant and owner questions

  • Finance and administration

    1. Rent is due
    2. The agent does it, on record: Payments matched to tenants
    3. The agent does it, on record: First reminder in the agreed tone
    4. A person decides: The property manager approves next steps
    5. Arrears followed up, on record

With company memory Knows the arrangements your team made with tenants in arrears, and who agreed to them.

    Also: Service costs and contributions

  • Reporting and management information

    1. The quarter closes
    2. The agent does it, on record: Requests, work and spend per building
    3. The agent does it, on record: Owner report assembled
    4. A person decides: The property manager checks it
    5. Sent to the owner

With company memory Knows what each owner wants to see in a report, and how your team explains the odd figure.

    Also: VvE meeting papers

Where the work stalls in property management.

  • Not adopted

The property management system has portals and AI features, and tenants and owners still email the office and the office still calls the contractor.

  • Requests in the inbox

Repair requests, complaints and questions from tenants and owners land in one inbox, are sorted by whoever is in, and the tenant waits for a reply.

  • Leases by hand

Renewals, indexations and new leases are drafted by hand from last year's file, and every change in the rules means checking them all again.

  • Rules keep changing

New rent-point rules from 2027 and a planned energy-label minimum for rentals add work per unit, while mandates from private landlords shrink.

Three workflows that are usually the first candidates.

Examples to start your own list from, each run by agents that work alongside your team as co-workers. The AI Sprint finds the ones that fit your operation.

Tenant requests and repairs

Today
A tenant emails a leak, someone reads it, calls the contractor, forwards photos, and updates the file when there is time.
Agents take over
Agents read every request from tenants and owners, classify urgency, match it to the unit and to who pays (the owner, the tenant or the VvE), draft the work order and the reply, and keep the file current.
A person decides
A property manager approves every work order before a contractor is sent, and anything urgent or above the cost limit goes to a person first.
The audit trail records
The request, the classification, the order, who approved it and what the tenant was told are recorded per case.
Your team owns
The urgency rules, the cost limits and the contractor list are the property team's own.

Lease documents and renewals

Today
Renewals and indexations are found in a spreadsheet, drafted from last year's contract, checked twice, and sent late.
Agents take over
Agents track every lease end and indexation date, draft the renewal or the new lease from the approved terms, and prepare the tenant's letter.
A person decides
A property manager approves every lease and every indexation before anything is sent; nothing binds the owner without that approval.
The audit trail records
The terms used, the draft, the approval and the sent version are recorded per lease.
Your team owns
The lease templates, the indexation rules and the approval points belong to the property team.

VvE administration

Today
Contributions are chased by hand, quotes for maintenance are collected by email, and the papers for the members' meeting are put together in the last week before it.
Agents take over
Agents match contributions to owners and draft the reminders, request quotes for the work in the maintenance plan, and draft the annual figures and the agenda for the members' meeting, and the minutes after it.
A person decides
The VvE manager approves every reminder, every quote request and every document for the members; the board and the members decide on the work and the budget.
The audit trail records
Every contribution matched, every reminder and quote request, every draft and who approved it are recorded per VvE.
Your team owns
The reminder sequence, the quote rules and the meeting templates are your team's own.

What your agents need to know in property management.

  • Which repairs are urgent, who pays for what under each lease and each VvE's rules, and which contractor goes to which building.
  • How each owner wants renewals and indexations handled, including the exceptions agreed by phone.
  • How each VvE board likes to be kept informed, from the quotes it wants to see to the decisions it leaves to the manager.

Where property managers usually start.

Tenant requests and repairs, for most managers. They arrive every day, the urgency rules and the contractor list exist, and the judgment line is clear: a property manager approves every job. It is also where tenants and owners notice the difference first.

How it would go

  1. 01The AI Sprint maps the current request flow with the property managers who handle it, and reads what in your property management system and inbox must change before agents can carry it.
  2. 02The working example handles one month of real requests, work orders and replies drafted, nothing sent.
  3. 03The build adds the approval gate, the urgency and cost rules, the audit trail per case, and the handover to the property team.
  4. 04Lease documents and VvE administration follow once requests run.

The governed layer in property management.

Where a manager signs off

Every work order, every lease and indexation, every reminder beyond the first, and every document for a VvE's members. Agents prepare, your managers commit.

What the audit trail records

The request behind every work order, the terms behind every lease, every payment matched and every reminder, and who approved what. Enough to answer a tenant, an owner, a VvE board or a court.

What your team owns

The urgency rules, the templates, the thresholds and the runbooks, in the property management system you already run. When the rent rules change, your team changes them.

Start with one property workflow.

One week, fixed scope. You leave with a working example of one workflow on your own data, a read of your property management, accounting and email systems, and a plan for what to build next.

What you get

  • Stack read
  • Risks and value
  • Roadmap

Questions from property and VvE managers.

Does this replace our property management system?
No. The agents work inside the property management, accounting and email systems you already run. Replacing a system is a decision the AI Sprint can inform, never a precondition.
Can an agent send a contractor on its own?
Not by design. Agents draft the work order; a property manager approves every order before it goes out. The gate is part of the build.
How do you handle tenant and owner data?
Tenant, owner and lease data stay in your systems and your access rules apply to the agents. Every action on a file is logged, and anything about payment plans or personal circumstances goes to a person first.
We manage for several owners and VvEs. Does that work?
Yes. Approval points, tone and thresholds can differ per owner, portfolio or VvE, and the audit trail shows per unit what was done and approved, which is what an owner report or a members' meeting needs.
Which workflow should we start with?
Usually tenant requests and repairs, because they come daily and the rules exist. The AI Sprint confirms whether that holds for your portfolio or whether lease documents or VvE administration come first.
What do we own at the end?
The system, its documentation, its rules and templates, and the runbooks. We hand it over so your team runs it without us.
